Terms and Conditions
Set out below are the terms on which The Medispa provides services to its clients. Please ensure that you have read and fully understood them prior to booking any treatments or procedures at The Medispa.
1. General Terms and Conditions for All Patients
- 1.1 These terms and conditions form the basis of the agreement between the patient ("you"/"your") and The Medispa ("we"/"our").
- 1.2 Please read these terms and our privacy policy carefully and contact us if you have any questions.
- 1.3 By registering with The Medispa, you agree to be bound by these terms.
2. Appointments, Deposits and Cancellations
- 2.1 Full or partial payment is required at the time of booking. This may be retained if you cancel without at least 48 hours’ notice.
- 2.2 We do not guarantee specific dates, times, or therapists unless an appointment has been confirmed.
- 2.3 If you are more than 15 minutes late for your appointment, we may not be able to accommodate your treatment, and it will be treated as a late cancellation.
- 2.4 Appointments can be rescheduled with no charge if at least 48 hours’ notice is provided.
- 2.5 Deposits are non-refundable if appointments are cancelled.
- 2.6 In exceptional circumstances (e.g., illness, bereavement), we may waive cancellation charges at our discretion.
- 2.7 We reserve the right to cancel or reschedule appointments due to unforeseen circumstances or practitioner unavailability. In these cases, deposits will be refunded, but we are not liable for other expenses incurred by the client.
- 2.8 Delays in clinic can occur due to complex cases. If your appointment is delayed by more than 30 minutes, you may choose to reschedule.
3. Fees and Payment
- 3.1 Payment must be made in full following your treatment or consultation.
- 3.2 Accepted payment methods: credit/debit card (excluding Amex), cash, gift voucher, or bank transfer.
- 3.3 Treatment prices may change without notice, but the price at the time of booking will be honoured.
- 3.4 We do not store card details and will never ask for them to be revealed.
4. Gift Vouchers
- 4.1 Gift vouchers are available from reception and valid for the period stated on the voucher.
- 4.2 Vouchers are redeemable for treatments only and are non-refundable.
- 4.3 Vouchers are non-transferable and can only be used by the purchaser or recipient.
5. Eligibility for Treatment
- 5.1 Treatments are not provided if we deem them unsuitable or unlikely to be effective.
- 5.2 Clients must be 18 or over. Proof of age may be requested.
- 5.3 Treatments are not provided during pregnancy or breastfeeding, or where contraindicated by health conditions or medications.
- 5.4 We comply with all applicable laws and professional guidelines.
- 5.5 Laser patch tests are only performed if a course of treatment is intended. Full course payment is required upfront.
6. Treatment Courses and Discounts
- 6.1 Courses must be paid in full before or at the time of the first treatment.
- 6.2 Treatments (excluding laser hair removal) must be used within 6 months.
- 6.3 Courses are non-refundable and non-transferable.
- 6.4 In case of serious or terminal medical conditions, refunds will be calculated based on treatments used at full price.
- 6.5 Refunds are not offered for temporary or expected side effects (e.g., redness, swelling, pigmentation).
- 6.6 Single treatments are charged at double the per-session course rate.
7. Botulinum Toxin Top-Ups
- 7.1 Complimentary reviews are offered 2–3 weeks after treatment. If attended outside this window, top-ups will not be provided.
8. Dermal Filler Top-Ups
- 8.1 Top-ups for dermal fillers are chargeable.
9. Value Pack Courses
- 9.1 Value packs are non-refundable but may be exchanged for other treatments.
10. Children Policy
- 10.1 Children under 16 are not permitted in the clinic unless accompanied by a supervising adult who is not undergoing treatment.
- 10.2 Children are not allowed in treatment rooms.
- 10.3 Appointments will be cancelled if a chaperone is not provided, resulting in loss of deposit or fees.
11. Mobile Phones
- 11.1 Please silence or switch off mobile phones during appointments. Any unauthorised recording will be deleted.
12. Refunds
- 12.1 Due to variations in results, no guarantees are offered. Fees relate to time, expertise, and product use—not outcomes.
- 12.2 Fees are non-refundable in the event of unsatisfactory results or complications.
13. Product Refunds
- 13.1 Products are non-refundable unless faulty.
- 13.2 Faulty items must be returned for assessment before a refund is issued.
14. Clinical Risks
- 14.1 While we take every precaution, all treatments carry some risk.
- 14.2 Risks will be discussed during your consultation and documented in your consent form.
- 14.3 You may be required to travel to another clinic if immediate medical attention is needed.
- 14.4 We will treat complications within our capacity. More serious issues may require NHS or private intervention at your cost.
15. Equipment Safety
- 15.1 If equipment safety is in question, your treatment may be rescheduled.
16. Documentation and Records
- 16.1 Clients must complete a registration form and provide accurate contact details.
- 16.2 A medical questionnaire must be completed and updated regularly.
- 16.3 Clients must sign consent forms before each treatment.
- 16.4 You may request copies of your records for a reasonable fee.
- 16.5 Failure to disclose medical history absolves The Medispa of liability for related outcomes.
17. Mental Health and Aesthetics
- 17.1 Aesthetic treatments require realistic expectations.
- 17.2 Please disclose any relevant mental health history prior to treatment.
- 17.3 Psychological effects of aesthetic treatments are not guaranteed.
18. Data Protection
- 18.1 Personal data is collected and processed in accordance with GDPR and The Data Protection Act 2018. Please refer to our Privacy Notice for full details.
19. Limitation of Liability
- 19.1 The Medispa is not liable for indirect or consequential losses.
- 19.2 Clients are responsible for disclosing relevant medical history.
- 19.3 The Medispa’s liability is not excluded for death or personal injury caused by negligence.
20. Feedback
- 20.1 Feedback is welcomed and used to improve our services. You may submit feedback via email, verbally, on social media, or our website.
21. Complaints
- 21.1 Please raise any complaints with the clinic manager. Our complaints policy is available on request.
22. Changes to Terms
- 22.1 Terms may be updated periodically. The latest version will be available on our website.
23. No Waiver
- 23.1 A delay in enforcing these terms does not constitute a waiver of any right.
24. Severance
- 24.1 If any part of these terms is deemed invalid, the remainder shall remain enforceable.
25. Governing Law
- 25.1 These terms are governed by the laws of England and Wales.
- 25.2 Any disputes shall be resolved in the courts of England and Wales.
26. Entire Agreement
- 26.1 These terms represent the entire agreement and supersede prior discussions.
- 26.2 No party may rely on representations not set out in these terms.
27. Third Party Rights
- 27.1 These terms do not confer any rights to third parties under the Contracts (Rights of Third Parties) Act 1999.
28. Social Media and Marketing Consent
- 28.1 If you sign a media consent form, you grant The Medispa and its representatives the right to use your name, likeness, and image in promotional materials, including print, digital, and social media formats.
